Intuit provides updates to QuickBooks which can be downloaded from the internet. These updates are also known as maintenance releases or “patches” are the free product releases which help in improving program functionality and resolve various issues. There are three methods for downloading updates from the Internet:

Automatic QuickBooks Update Method (default setting):

QuickBooks is set up to automatically download updates from the server whether or not QuickBooks is running. QuickBooks will download updates automatically until you disable the option that says ‘Automatic Update’.

Follow these steps to enable or disable the Automatic Update option-

  • Navigate to the Help menu and click on Update QuickBooks.
  • While in the Update QuickBooks window, click on the Options
  • Click on Yes to enable (or No to disable) the option for Automatic Update.
    1. If Automatic Update option is enabled, then select the updates you want to receive and clear the updates that you do not want.
    2. If Automatic Update is disabled, you will no longer be notified when a new update becomes available. However, you will occasionally receive a reminder to check for updates and does not necessarily mean that an update is available.
  • Click Save and then click Close.

If there are issues with the automatic update, then try the alternative for ‘Immediate Update Method’. If you are still unable to download an update, please contact QuickBooks Product Support, as the situation may be unique to your system and the support people will be there for the help.

Immediate QuickBooks Update Method:

With the help of this method, you can immediately download QB updates from the Intuit server to your computer. This can be used at any time (even if Automatic Update is enabled) and you can immediately download, whether or not QuickBooks is open. It is recommended that you check for updates approximately once in a month.

Follow these steps below, to check for and install updates to QuickBooks:

  • Navigate to the Help menu and click Update QuickBooks.
  • Click the Update Now tab.
  • Select the updates in order to download and click on Get Updates. Click the Maintenance Releases link to check what is included in the update, in the Updates column.
  • Exit QuickBooks. QuickBooks will prompt you to install the update now, depending upon the version you have, or the next time you start your software. But, when it does, click Install Now or Yes to install the update. After installing the update, restart your computer.

Release Download:

If the user does not wish to install updates using the update feature in QuickBooks or is having problems with the update feature. They can download and install available updates. If there are multiple copies of QuickBooks, it’s better to update them all. Otherwise, it will not be possible to open your company file(s).

The updates for Multi-User Mode in QuickBooks Pro and in QuickBooks Premier:

If the user is using QuickBooks Pro or Premier in multi-user mode, then they would need to install the update on each computer that has QuickBooks Pro or Premier installed on it. They can either connect to the Internet from each computer that has QuickBooks installed on it or can download the update to one computer on the network and share it.

All QuickBooks Pro or Premier users on your network must complete the following steps to share an update:
  1. Open the shared company file.
  2. Navigate to the Help menu and click Update QuickBooks.
  3. Click the Options
  4. Set the Share Download option to Yes.
  5. Click the Save

Note: When the Share Download option is turned on, the downloaded QuickBooks updates are stored in the same location as the company file.  As an alternative, updates are downloaded to the directory or folder where the copy of QuickBooks is installed.

  • The version is optimized for 1280×1024 or higher screen resolution. Supports one Workstation Monitor and up to two extended monitors. Optimized for default Dots Per Inch (DPI) settings.
  • A 32-bit Internet Explorer version 11.0.

Further, in order to integrate the QB Desktop Premier 2021 with Microsoft Word or Excel, you would require a Microsoft office 2013+(2013-2019), or Microsoft Office 365 ( 32 and 64 bit).

Upgrading Your QB Premier to 2021

There are multiple methods you can use to update/upgrade to the latest release. They are:

1.    Upgrading from within the Current QuickBooks Application

For upgrading your QB Desktop Premier from within your present QuickBooks, follow the below-mentioned steps:

  • Head to the ‘help’ section of the QB application and choose ‘Upgrade QuickBooks’ 
  • Choose ‘Upgrade Now’ if you have already purchased the latest version, else choose ‘Buy Now’ to purchase the version before upgrading. 
  • QuickBooks will automatically check for the latest upgrades associated with your customer account.
  • If there are no upgrades available on your account, or you have bought QuickBooks from a retail store, the application will ask you to enter the license and product information to upgrade. You can select ‘Continue’ to proceed, after providing the product details.
  • QuickBooks will display the available upgrades on your account. You can select ‘QuickBooks Desktop Premier 2021’ and choose ‘Upgrade Now’.
  • In order to remove the older version of QuickBooks from your system, remove the check against the ‘Keep old versions on my computer’ and select ‘Let’s go’.
  • The QuickBooks application will close and let the upgrade run. It will install and register the latest version, and will also create an up to date copy of your company’s file. Note that the installation time will vary according to your internet speed.
  • Once the upgrade is completed, a success message will be displayed on your system’s screen. You can now select ‘Open QuickBooks’ to start using the latest version of your QuickBooks application.

2.    Download and Install the Latest Version

For manually upgrading your QuickBooks Desktop Premier application, you need to download the latest version from the ‘Downloads & Updates’ page of the Intuit server. You would require to select your country, product, and version to download the same. Select the product and version as QuickBooks Desktop Premier and 2021, respectively. Click on the download button to start downloading the latest release. 

Once you have downloaded the new version, save the file on your desktop, or other destination you can easily locate. Also, keep handy the product details for the installation process. You can find the product details in the purchase email if you have purchased the product directly from Intuit’s website. If purchased from a retail shop, look for the original package label.

Once you are ready with the downloaded file and the product details, follow the subsequent steps to complete the upgrade:

Step 1: Open the ‘QuickBooks.exe’ file you saved post downloading. Follow the displayed instructions. Accept the license agreement and click ‘Next’. Then, provide product details and choose ‘Next’.

Step 2: You will get two choices for installing the QuickBooks product: express, or custom and network. Identify which install type is right for you and proceed with the installation as explained below:

○    Express Install

It is recommended for first-time users, users who are reinstalling QuickBooks, or users who are planning to use the QuickBooks application on a single system and not as a part of a network of systems.

For express installation, choose ‘Express’ and click ‘Next’. Select ‘Install’. Once it finishes, click on ‘Open QuickBooks’ to start using the application.

○    Custom and Network Install

It is recommended for users installing QuickBooks to a location other than the default, such as on a server. It is also recommended for users planning to set up a multi-user network or hosting company files on a server.

For installing QuickBooks with custom and network options, choose the ‘Custom and Network Options’ and click ‘Next’. 
Then, pick the choice that best describes how you will use the application. 
Next, click on the ‘Change the install location’ and select ‘Browse’ to head to the folder you want to install QuickBooks in. Users generally prefer to put it in the ‘Programs’ folder. 
Click ‘Next’ to initialize installation. Once completed, you can get started by selecting ‘Open QuickBooks’.

Step 3: After the QB Desktop Premier 2021 has been installed, QuickBooks will demand activating and updating your product. If not prompted automatically, you can manually activate QuickBooks.

When is it time to upgrade to your QuickBooks software?

Last week we had a prospect call in. They were a 75 person company, doing more than $50M in annual revenue. They were using QuickBooks Online. They had several versions cobbled together, they were running most of their reports in Excel, and were incredibly frustrated that their accounting system was holding them back from growth. It was far, far past the time to upgrade to QuickBooks Enterprise, but because no one had told them they had been experiencing pain all year long.

We’ve also worked with legacy companies that have been using QuickBooks or even Quicken products from pre-2000. These companies had maintained the same software and everything was working quite well. Until suddenly it wasn’t. Their computer crashed or got a virus and their QuickBooks became inaccessible. Because they were using such an old version of the software the usual methods for retrieving data or restoring backups were not available and they had to undergo a costly conversion and restoration.

So we wanted to make sure we keep our customers informed on some of the signs it might be time to upgrade to a larger, more robust version of QuickBooks, or at least get on the latest version of the software.

Intuit released another version of its popular accounting software QuickBooks Enterprise on September 17, 2018. This is the yearly release of the product where they introduce new features. So it is a good idea to check in every September and see what new features Enterprise is offering. A few that were released this year:

  • .IIF File imports
  • Pick, pack & ship
  • Increased management of permission levels
  • Transfer of credits between jobs for a client
  • In-product data file optimization (though we don’t recommend using this feature)
  • Check to pay bill
  • Inactive items in Inventory Valuation Report
  • Reliable sick and vacation pay

Sometimes these new features can be big time savers for your business, so take a look and see if the latest version of QuickBooks Enterprise is going to better meet your needs. If so, then it is time to upgrade!

You are 2 or more years behind in product

It’s possible not to upgrade to the latest QuickBooks version even as Intuit releases new versions every year.  Because older versions of QuickBooks Desktop (QuickBooks ProQuickBooks Premier, and QuickBooks Enterprise) did not operate on a SaaS model, and were locally hosted, once you purchased the software it was yours to keep and you never needed to upgrade again if you didn’t want to. We regularly speak with companies who are using versions from as old as 2002.

However, technology moves at a very rapid pace. Hardware and operating systems change, which means older products will struggle to keep up on a more modern computer. There are also new compliance laws each year. How Personally Identifiable Information must be handled continues to change. The release of the EMV Pin Pad meant a huge hardware change just in the last 2 years.

Furthermore, Intuit drops support for its QuickBooks software following a three-year cycle. This is known as their discontinuation policy. This means that your business won’t be able to get any technical support from Intuit and your software will lose some functions, including third-party features, which might be vital to your business operations.

Intuit typically advises users when their current software will be phased out and offers deep discounts for upgrading. Once that upgrade period has passed you’re going to pay full price for the upgrade and will typically need to engage a conversion specialist like Fourlane to assist with converting your data, since the in-product upgrade feature will no longer work.

So, for example, if you purchased QuickBooks 2016, you should upgrade before the end of 2018. This will give you the latest features and ensure continuity of operations. However, if you’re using QuickBooks 2017, you may be able to get another year out of the product. Keep in mind, you will need to upgrade next year.

You are changing operating systems

If your company is planning to change its computer operating system (OS), then upgrading is mandatory. This is particularly important if you are shifting from Windows OS to Mac, as Intuit has now revived QuickBooks Desktop for Mac. You could ostensibly keep running your original QuickBooks and access it on your Mac with QuickBooks Hosting, but you may want to weigh the pros and cons of using native software.

If you do not upgrade at this time you will likely experience data corruption and file issues. It’s crucial to avoid these errors when your business relies on generating the right numbers for sales and productivity.

Your business is growing

In some cases, QuickBooks users of Pro or Premier may need to upgrade to QuickBooks Enterprise because the business has grown and the other versions can no longer sustain the amount of data processed in the software. QuickBooks Enterprise can handle a much, much larger volume of data, and has more advanced features available to help make sense of that data.

There is no hard and fast rule of exactly when you need to upgrade. There are some professional services companies that do 1-2 large transactions a month, don’t have inventory, and for them QuickBooks Pro will work just fine. But here are a few signs you are more than likely ready for QuickBooks Enteprise:

  • You’re forecasting $1M+ in annual gross revenue for the next fiscal year
  • You have inventory (especially if you do any kind of kitting or make-stock)
  • You are processing more than 30 transactions/month.
  • You have 15 or more employees
  • You are processing payroll inside QuickBooks (some QuickBooks Enterprise editions include payroll so it can be much cheaper to go with an all in one package)
  • Your file size is larger than 150mb

If you don’t upgrade, the system might become sluggish with performance issues, which commonly happens when there’s too much data to process every day.

The file size limit for the Pro and Premier versions is up to 250MB only, but things really slow down after 200mb, especially if you are doing a high volume of transactions. The profile supported, which comprises customers, employees and vendors, is up to 14,500 only. QuickBooks Pro and Premier also allow just three to five user access within the company. Enterprise, on the other hand, can support the tracking of 100,000 profiles and 30+ users across different sites. 

QuickBooks Enterprise also provides an online data backup of files, invoices, documents and even graphics for Enterprise users. The file size limit for this software is non-existent. Your operations may cross the 1GB threshold but the QB Enterprise will still run flawlessly (although once you get above 3GB it may be time to do a manual condense)

Important things to Remember before Upgrading

Updating to a new launch (instance: R3P into R5P) usually takes a slight change to the database. These modifications won’t create the information file readable with earlier releases.

That is different than updating to a new product variant (example: 2017 to 2018) in which the changes are important.

Ensure that you have QuickBooks Desktop Patch

  1. Open the QuickBooks Desktop, hit onto the “F2” key or “Ctrl+1” key on the system keyboard.

Steps to Update QuickBooks Desktop to the Latest Release

  • In the “File” menu, then choose the “Close Company/Logoff” icon.
  • In the “File” menu, and then choose the “Exit” tab.
  • Perform right-click on the QuickBooks icon, and then choose the Run as Administrator” option.
  • In the No Company Open windows, navigate to the Help menu & then select the Update QuickBooks option.

  • Choose the Get Updates tab.
  • Once the Update Complete’ dialogue appear on the screen, shutdown the QuickBooks.
  • Reopen the QuickBooks application..! If you see the install update message then hit onto the Yes icon.
  • Once the Installation is done, restart the system.

Method 3: Ultralight Patch (ULIP)

ULIP (Ultra Light Patch) is a characteristic in QuickBooks desktop where small crucial repairs can be sent without needing a real release limitation. The patch release procedure will last as will be (R releases for example 2017 R5).

QuickBooks “Updates” vs “Upgrades”

Intuit, the maker of QuickBooks, releases new versions of QuickBooks on a regular basis. Some are called “Updates” and those are free. Some are called “Upgrades” and those need to be purchased.

When using QuickBooks, you will often get a warning telling you to update or upgrade. These messages can be a bit intimidating. Understanding what they mean helps you make the decision on what to do next more comfortably.

Intuit has multiple QuickBooks products. The first distinction to understand is that they have desktop versions (Pro, Premier, Enterprise, etc…) and online versions (Online Essentials, Plus, etc.). The online versions get updated seamlessly in the background, so this discussion of “upgrade” vs “update” applies only to the desktop versions.

Within each desktop product (Pro, Premier, Enterprise,…), Intuit launches a major new version each year. These versions are branded differently. For instance, in the Fall of 2012, they will most likely launch QuickBooks Pro 2013. Even if you are already on an older version of QuickBooks Pro, you will have to pay full retail price to get QuickBooks Pro 2013. Once you’ve installed QuickBooks Pro 2013 on your PC, QuickBooks will guide you to open your company file in this new version. In the process, it will modify the database to match the new features of the product. This is what they call an “Upgrade”. Upgrades are not backward compatible, which means that once your company file has been upgraded to the new database structure (QuickBooks Pro 2013 in this example), it can’t be opened by older versions of QuickBooks anymore.

Once you have a given version of QuickBooks installed, Intuit will make small fixes throughout the year. Those are called “Updates” or “Releases”. They are free. You will get a notification when you launch QuickBooks that an “Update” is available and it will ask you if you want to install it. You don’t have to install it right away, and you can skip this message a few times, but eventually, you should install it. Those are important updates, because they fix bugs and they plug security holes. Sometimes, they even add features, but that is not the more important part. What you should really care about are the bug fixes and security patches.

In other words, if Intuit suggests that you “Update” to a new “Release”, go for it. It’s free and recommended. If Intuit suggests that you “Upgrade”, that’s a marketing message to convince you to buy the new version of QuickBooks. It might not be a bad idea, but it requires more thoughts than a simple “Update”.

Intuit just released QuickBooks 2020 Desktop, and over the next few days and weeks, QuickBooks ProAdvisors (for Desktop), Enterprise Users, and QuickBooks Pro/Premier ‘Plus’ subscribers will be notified about the availability of the initial release of the software. A couple of features, Easy Upgrade and Smart Help, reflected in the above chart are really enhancements that are not exclusive to QuickBooks Desktop 2020 users; in fact they are for all Desktop supported versions 2017 and above. (Both features only are available in the U.S. versions at this time.) For contextual related assistance you can access Smart Help by using the F1 key from anywhere within QuickBooks; for example, let’s say you were working on an Invoice an you had specific questions about customizing your invoice… this would be the perfect time to use the new Smart Help feature to get task relevant content or possibly live expert assistance via chat messaging, so you would access using the F1 key.ExpandQBDT-2020_Smart-help_02_Task-relevant_Invoice-A

The Smart Help feature provided enhanced task relevant information specific to what you are working on, as well as access to live assistance via chat messaging.

Easily access QuickBooks Support via Smart Help

Smart Help gives you access to Live options including text messaging and call back chat but be aware that a QuickBooks Care Plan is required for these live options.


But be aware that Smart Help support options involving messaging with live experts or call back features require an active QuickBooks Care Plan and internet connection. Care Plans are included with Standard, Plus and Enterprise subscriptions, they are also available for separate purchase from Intuit. In addition, support hours and access may vary by Care Plan or subscription type. You should always read all disclosures associated with your specific Care Plan or subscription.

Easy QuickBooks Upgrade

The second feature I want to discuss is one you won’t even find in QuickBooks 2020, but you will find it making its way into QuickBooks Desktop 2017, 2018 and 2019.  While it was a feature available to ‘Plus’ users last year, it will now be available to upgrade all desktop users to QuickBooks 2020 within the U.S. (but this feature is not available in Canada or the U.K. at this time). 

Easy Upgrade streamlines the process of updating QuickBooks versions to just a few clicks of the mouse. For QuickBooks Pro and Premier users this feature is accessed from the QuickBooks menu bar by selecting Help, then choosing Upgrade QuickBooks.ExpandQBDT-2020_Easy-upgrade

QuickBooks Pro and Premier users can access Easy Upgrade from the ‘Upgrade QuickBooks’ option under the Help menu.


QuickBooks then inquires if the user has already purchased a new version license or gives the user the option of purchasing a new license.ExpandEasy-upgrade_Path-A-02

Easy_upgrade for Pro/Premier checks for any available license already purchased, or gives the user the option to purchase a license for the newest release.


In response to either answer QuickBooks checks for any license available for the new version, and upon finding the license, asks the user if they are ready to proceed with upgrade.ExpandEasy_upgrade_License-found

Easy-upgrade with actually find any available license and then inquire of the user if they are in fact ready to proceed with the upgrade installation.


QuickBooks Users with a ‘Plus’ version of their software, or using Enterprise have a slightly different interface, the feature is actually offered automatically upon startup with an option to proceed, unlike Pro and Premier the upgrade menu isn’t presently available. Because these users have their license upgrades tied directly to their subscription, the upgrades are available immediately at the time the notification pop-up appears within their software.ExpandEasy_upgrade_almost-done

Easy Upgrade simplifies the process of upgrading from a users current QuickBooks version to the newest version with the fewest clicks possible and minimal software down-time.


In either case, when the user selects the option to upgrade QuickBooks takes them through the update process by downloading the product, installing and activating the new version, making copies of their recent company files, and activating the new product license.ExpandQBDT-2020_Easy-upgrade-complete

With Easy Upgrade QuickBooks does all the work, just ‘Open QuickBooks’ and your ready to go in QuickBooks 2020.


When the upgrade is done, all the user has to do is Open QuickBooks, it’s just that simple.
